Terms of Use and General Rules
- Check-in is from 2:00 PM on the day of arrival, and check-out is until 12:00 PM on the day of departure.
- The reception is open from 10:00 AM to 8:00 PM. In case of a planned arrival outside these hours or the absence of staff, the guest is obliged to contact us immediately at: +48 509 227 343.
- Quiet hours are observed from 10:00 PM to 6:00 AM.
- Unregistered persons may stay in the guest room only with the knowledge of the staff from 8:00 AM to 10:00 PM.
- The property does not accept pets. In case of arrival with an animal, the property has the right to refuse check-in while retaining the right to keep the payment for the stay.
- Parking for guests is free and unmonitored. The property is not responsible for vehicles left in the parking lot and items left inside them.
- The property is not responsible for valuables, cash, or items left outside the guest rooms.
Guest's Financial Responsibility
- There is a strict ban on smoking tobacco and e-cigarettes throughout the property (inside the building). Breaking the ban results in an additional fee of 200 PLN allocated for specialized cleaning and ozonation of the room.
- The guest bears full financial responsibility for any damage, destruction, or missing items in the equipment and technical devices of the facility caused by their fault or the fault of people visiting them.
- The fee for losing or destroying the keys to the property/room is 50 PLN.
Cancellation Policy
- In accordance with Article 38 point 12 of the Consumer Rights Act, the consumer does not have the right to withdraw from a distance contract in the case of accommodation services other than for residential purposes, if the contract designates a specific day or period of service provision.
- The property sets its own flexible booking rules: The guest has the right to cancel the reservation free of charge up to 7 DAYS before the planned arrival. In this case, the funds paid will be refunded. In case of cancellation after the deadline specified in paragraph 2 or in case the guest does not show up at the property, the funds paid (deposit/total) ARE NON-REFUNDABLE.
Complaint Procedure
- The guest has the right to file a complaint in case of finding non-compliance of the provided services with the submitted offer or regulations.
- Complaints should be submitted in writing to the company's registered office address or electronically to the e-mail address: biuro@pannailew.pl.
- A correctly submitted complaint should include the guest's details, a description of the problem, and a request for a specific way of rectifying the situation.
- The property processes complaints within up to 14 days from the moment of their receipt and informs the guest about the decision using the same channel the complaint was received.
Booking and Electronic Payment Rules
- Booking a guest room can be made via the reservation system on the website, by phone, or by e-mail.
- In the case of online booking, the condition for its confirmation is making a payment in the form specified in the booking process (total cost of the stay or a 30% deposit).
- Electronic and card payments are handled by the Polcard operator (Fiserv Polska S.A.) based in Warsaw.
- Available payment methods include quick internet transfers (pay-by-link), BLIK, and payment cards: Visa, Visa Electron, Mastercard, MasterCard Electronic, Maestro.
- If it is necessary to refund the transaction made by the customer with a payment card, the seller will make the refund to the bank account assigned to the Ordering Party's payment card.
- The prices given on the website are gross prices and include VAT (and local tax, unless stated otherwise).
GDPR and Personal Data Protection
1. General Information
The administrator of personal data collected via the website is Willa Przy Tężni Spółka Cywilna, NIP 891 163 33 00, 87-720 Ciechocinek, 13 Polna St. (hereinafter referred to as the Administrator). The data is processed in accordance with the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (GDPR).
2. Purposes and Basics of Data Processing
Your personal data is processed for:
- Handling and processing accommodation bookings - legal basis: Art. 6 sec. 1 lit. b of GDPR (necessity for the performance of a contract).
- Processing online payments - data is transferred to the payment provider Polcard (Fiserv Polska S.A.) for authorization processing (Art. 6 sec. 1 lit. b of GDPR).
- Fulfilling legal obligations resting on the Administrator (e.g., issuing invoices, tax regulations) - legal basis: Art. 6 sec. 1 lit. c of GDPR.
- Contacting and responding to inquiries via the form or phone - legal basis: Art. 6 sec. 1 lit. f of GDPR (legitimate interest of the Administrator).
3. User Rights
Every person whose data is concerned has the right to access their data, rectify it, delete it ("right to be forgotten"), restrict processing, the right to data portability, the right to object, and the right to lodge a complaint with the President of the Personal Data Protection Office (PUODO).
4. Data Retention Period
Personal data will be stored for the period necessary to carry out the reservation, and after that time for the period required by tax law provisions (invoices - 5 years from the end of the tax year) or until the potential civil claims are time-barred.
5. Cookies
The site uses cookies for technical purposes (maintaining the booking session) and statistical purposes. The user can change cookie settings in their web browser at any time. Disabling cookies may affect the proper functioning of the online booking system.
